This Privacy Policy explains how SongBoard LLC ("SongBoard", "we", "us", "our") collects, uses, and shares information when you use SongBoard on:

  • our website and web app (the "Web App")
  • our iOS app
  • our Android app
  • any related services, features, content, and support (collectively, the "Services")

1. Information we collect

A. Information you provide

Depending on how you use SongBoard, you may provide:

  • Account info (name, email address, password or login method)
  • Workspace info (DJ business name, logo, brand colors if you add them)
  • Event info (event name, date, venue/location details you enter, timeline sections/cards, notes)
  • Host and vendor info (names/emails you invite, messages you send, responses they submit)
  • Song info (song requests, do-not-play lists, Spotify links you add, and related notes)
  • Support info (messages you send to support, screenshots you share, error details you provide)

B. Information we collect automatically

When you use the Services, we may automatically collect:

  • Device and app info (device model, OS version, app version, language)
  • Log data (IP address, timestamps, pages/screens viewed, actions taken, crash reports)
  • Performance data (loading times, feature usage, diagnostic events)
  • Approximate location derived from IP address (country/region) for security and localization

C. Cookies and similar technologies (Web App)

The Web App may use cookies and similar technologies to:

  • keep you signed in
  • remember preferences
  • protect against fraud/abuse
  • measure and improve performance

You can control cookies through your browser settings. Some features may not work correctly if cookies are disabled.

D. Information from third parties (optional)

If you choose to connect or use third-party services, we may receive information from them. Examples:

  • Social login providers (if you sign in with Google/Apple, we receive basic profile info like your name and email)
  • Integrations (if you connect Spotify or other services, we receive the data needed to complete the action you requested)

2. How we use your information

We use information to:

  • Provide and operate SongBoard (accounts, events, collaboration, messages, uploads, exports)
  • Personalize and improve the Services (feature improvements, troubleshooting, testing)
  • Communicate with you (service emails, support replies, important updates)
  • Secure the Services (fraud prevention, abuse detection, authentication)
  • Comply with legal obligations and enforce our terms

3. Tempo AI and AI features

SongBoard includes AI features, including Tempo.

What Tempo does

Tempo can help with planning and organization, such as:

  • generating event structures and timelines
  • drafting questions and notes
  • summarizing events
  • importing planning content from files you provide (like PDFs)
  • exporting content (for example, songs to Spotify)

What Tempo processes

To do this, Tempo may process content you provide inside SongBoard (for example: event cards, notes, questions, and song lists).

Third-party AI processing

Some AI features may use third-party AI model providers to generate results. When we do, we share only the information needed to perform your request. We require service providers to process data only to deliver the service to us, consistent with this Privacy Policy and our agreements.

Important: AI can be helpful, but it can also be wrong. You are responsible for reviewing AI outputs before using them in your event.

4. When we share information

We may share information in these situations:

A. With service providers

We use vendors to help us run SongBoard (examples: hosting, databases, analytics, crash reporting, email delivery, customer support tooling, payments, and AI providers). These providers are allowed to process data only to provide services to us.

B. With other users you invite or collaborate with

If you invite a host or vendor to an event, they may see the event data you share with them (cards, notes, questions, and song requests). You control who you invite and what they can access based on your workspace and event settings.

We may disclose information if we believe it is reasonably necessary to:

  • comply with a law, regulation, legal process, or government request
  • enforce our terms and policies
  • protect the rights, safety, and security of SongBoard, our users, or the public
  • prevent fraud or abuse

D. Business transfers

If SongBoard LLC is involved in a merger, acquisition, financing, reorganization, bankruptcy, or sale of assets, information may be transferred as part of that transaction.

We do not sell your personal information.

5. Data retention

We keep personal information only as long as needed to:

  • provide the Services
  • maintain security and prevent abuse
  • comply with legal obligations
  • resolve disputes and enforce agreements

If you delete your account, All data stored with your account will be deleted from our primary systems within 30 days. Backup copies are deleted within 90 days. Limited records may be retained longer where required for legal, security, or fraud-prevention reasons.

6. International transfers

SongBoard may store and process information in the United States and other countries where we or our service providers operate. Data protection laws may differ from your country. We take reasonable steps to protect your information wherever it is processed.

7. Children

SongBoard is not intended for children under 13. We do not knowingly collect personal information from children under 13. If you believe a child has provided personal information, contact support@songboard.app and we will take appropriate steps.

If you are under 18, you should use SongBoard only with permission from a parent or legal guardian.

8. Your choices and rights

Depending on where you live, you may have rights to:

  • access the personal information we have about you
  • correct inaccurate information
  • delete your information
  • object to or restrict certain processing
  • request a copy of your data (data portability)

How to request access, deletion, or changes

  • In-app: check Settings (where available) for account and privacy options.
  • Email: support@songboard.app with your request from the email associated with your account.

Account deletion

If SongBoard provides an in-app deletion option, you can use it (typically under Settings > Account > Delete Account). If you cannot access the app, email support@songboard.app and we will help you delete your account and associated data, subject to legal and security requirements.

We may need to verify your identity before completing certain requests.

9. Do Not Track

Some browsers offer a "Do Not Track" (DNT) setting. There is no consistent industry standard for responding to DNT signals, so SongBoard does not currently respond to DNT. If a standard is adopted, we may update our practices.

10. Security

We use reasonable administrative, technical, and physical safeguards designed to protect your information. No method of transmission or storage is 100% secure, so we cannot guarantee absolute security.

11. Changes to this policy

We may update this Privacy Policy from time to time. If we make material changes, we may notify you through the Services or by other means. The "Last updated" date at the top will reflect the most recent version.
