ℹ️ Multi-op support is a SongBoard Plus feature
If you're a multi-op, you can manage your team members (DJs and admins) via the Team page.
This guide will go over some of the must-know features on the Team page including:
ℹ️ To add team members, you'll need to make sure your plan supports the amount of users your company needs (this can be found as the "DJs" number located on the Workspace page under "SongBoard Plan".)
To add a DJ or admin account to your SongBoard workspace, login to SongBoard with an admin account and navigate to the Team page.
To add an account, click on the "Invite" button on the top of the page.
You'll just need the email address of the team member you're inviting, and to pick which role you'd like them to have (see more on roles in the next section).
Once you click "Save", an invitation email will be sent for them to create a password.
ℹ️ If you'd like, you can uncheck "Send Email Invitation" to send team members their invite links manually.
You'll see the new team member show up in the list along with their status.
If you just invited someone, their status will be "Invited". This means they were sent an email invite to join, but haven't registered yet (set their password).
There are a few "statuses" that will show up on the Team page.
Statuses are there just to let you know if your team was able to set up their accounts or if they haven't responded to the invite.
There are a few possible statuses:
There are two roles that team members can have:
A member is a employee of your business who can't manage other users, but can access events. This is what you should use for DJs.
An admin has the most amount of access to your workspace. They can add or remove users, and manage workspace-level settings (billing, white-labeling, etc...)
Which role should you use? The best advice here is to only give people the roles they need to do their job.
If you're adding a DJ, go with "Member". If they need to manage your SongBoard workspace, add them as "Admin".
By default SongBoard will send an invitation email automatically when you invite a new user.
However, it's also possible to send out an invite manually by copying an invite link.
There are two ways you can do this:
Once you have the invite link, you can send it via email, WhatsApp, or carrier pigeon. However it gets to your new team member is up to you. 👏
If you don't need a team member anymore, you can always delete an account by going to the Team page, finding the user, clicking the 3 dot menu, and clicking "Delete":
This will free up a spot in your SongBoard plan to add another account too 👏
If you're getting an error like this:
It means you've reached the maximum number of team members you can have with your current SongBoard Plan.
If you're on the Free Plan, you have to upgrade to SongBoard Plus to add team members.
If you're on SongBoard Plus, you can double check how many DJs and admin accounts you can add by visiting the Workspace page:
The "SongBoard Plan" section tells you how many accounts you're able to have under the "DJs" row". In this example, I can only have 1 account.
To have access to more accounts, you'll have to upgrade your plan. To do this click "Update Plan". From there you can add more "seats" to your plan in our billing portal.
Then just head back to the Team page, and try adding your user again.
If the user you invited can't find their invitation link, you can always resend it by using the "Resend Invite" button:
Just navigate to the Team page, find the user, click the 3 dot menu, and click "Resend Invite".
If they still can't find it, it could be going to their spam or junk folder. If that's the case, check out the section below.
If you're finding that the automatic invitations SongBoard sends are going to the receipient's spam folder, the best thing you can do is to use the "Copy Invite Link" method.
To do this, just go to the user on the Team page, click the 3 dot menu for the user, and click "Copy Invite Link":
Then you'll get this dialog that contains their invite link:
You can copy this link, and send it to them however you'd like (e.g. your own email, text, WhatsApp, etc...). That way you can be sure they get the invite.
